PRIORITY REGISTRATION POLICY FOR MEDICAL REASONS
Purpose of the policy
The health and safety of runners are a top priority for the organizers of HOKA UTMB Mont-Blanc.
If an injury or illness occurs after registration and cannot be fully resolved in time to allow participation under appropriate conditions, the organization recommends that the affected runner avoid taking unnecessary risks, cancel their registration (cancellation terms are outlined below), and apply for priority registration for a future edition.
This measure is part of a shared responsibility approach between runners, medical teams, and the organization, aimed at protecting participants’ health and promoting a safe and sustainable approach to trail running.
HOKA UTMB Mont-Blanc encourages every athlete to consult a healthcare professional before making any decision regarding participation and to prioritize full recovery before registering for a future edition.
Eligibility criteria
Any runner registered for one of the races at HOKA UTMB® Mont-Blanc (excluding PTL® and YCC) may be eligible for this policy.
The injury or illness must have occurred after registration and must not be fully recoverable within a timeframe that would allow participation under appropriate conditions. However, the injury or illness must reasonably indicate that a return to trail running will be possible before the expiration of the priority registration period.
Non-medical circumstances (including personal, logistical, or professional reasons), as well as incomplete applications or requests submitted after the deadline, cannot be considered.
Application process
To benefit from this policy, the runner must complete the online application form (below), describing the nature of their injury or illness and providing a complete medical file. This file must include, in particular, a detailed medical report specifying the diagnosis and treatment plan.
Please note that all applications must be submitted in either French or English and no later than September 27. Any application received after this date, submitted in another language, or containing incomplete information will automatically be rejected.
Only complete applications will be reviewed by the physicians of the Amis de l'UTMB Mont-Blanc Medical Commission, the sole body authorized to make a decision. Applications will be assessed within a maximum of two months and no later than November 15.
No medical examination will be conducted, and this process does not constitute a medical consultation under any circumstances. Decisions made by the Medical Commission are final and cannot be appealed.
The runner will be granted a priority registration valid for one of the next three editions of the race for which they were originally registered. Upon request, the priority registration may also be applied to another race at HOKA UTMB® Mont-Blanc, in accordance with the rules outlined below (*).
This priority registration will exempt the runner from the lottery process, but does not waive the payment of registration fees or the standard admission requirements, including the submission of a valid PPS, as well as a valid UTMB Index at the time of registration.
The Running Stones used for the original registration will not be returned to the runner’s account. However, the runner will not be required to obtain additional Running Stones in order to use this priority registration.
The Priority Registration Policy for Medical Reasons is independent of the cancellation process. Reimbursement of registration fees is subject to the purchase of cancellation insurance and eligibility verification by the insurer.
To activate this priority registration, the runner must contact the organizers of HOKA UTMB® Mont-Blanc before November 30 using this Contact Form.
If the priority registration is not used within the permitted timeframe (i.e., after three editions have passed, or if the priority is granted but not used), the runner will lose their priority registration. However, their Running Stones may be recredited upon request, in accordance with the standard Running Stones refund policy (see the HOKA UTMB® Mont-Blanc registration terms and conditions).

(**)MCC = To be eligible for priority registration for the MCC, you must be either a local runner or a volunteer at HOKA UTMB Mont-Blanc.
The registration cannot be reinstated, but the Running Stones will be recredited in accordance with the standard Running Stones refund policy.
Confidentiality and data processing
Medical documents submitted as part of this procedure are processed with strict confidentiality, in accordance with the General Data Protection Regulation (EU) 2016/679 (GDPR) and applicable French data protection laws.
Only the physicians of the Medical Commission have access to the medical information and documents submitted by the runner. This information enables them to assess whether the runner’s situation meets the eligibility criteria of this policy and to issue either a favorable or unfavorable decision regarding the priority registration request.
UTMB Group teams have access only to limited information through:
An “Athlete Service” file containing the information necessary to assist runners and manage priority registrations: first name, last name, gender, date of birth, email address, and the Medical Commission’s favorable or unfavorable decision.
An anonymized file containing data used to support the monitoring and continuous improvement of the health and prevention policy implemented by the organization: gender, description of the injury or illness drafted by the Medical Commission physicians, Medical Commission decision, and reason in the event of refusal. Under no circumstances will this data make it possible to identify a runner.
Complete medical files will be retained by the physician of the Les Amis de l'UTMB Mont-Blanc medical commission for a period of 5 years from December 31 following their submission. This retention period will allow physicians to analyze injuries and medical conditions experienced by runners and provide recommendations to UTMB Group to help improve prevention efforts. These analyses may be conducted by other physicians or medical students as part of research projects carried out in partnership with UTMB Group.
Data contained in the “Athlete Service” file will be retained for a period of 3 years from December 31 following its receipt. This retention period corresponds to the validity period of the priority registrations granted to runners.
Data contained in the anonymized file will be retained indefinitely.
In accordance with Regulation (EU) 2016/679 (GDPR) and applicable French data protection laws, you have the right to access, rectify, erase, restrict, and object to the processing of your personal data, as well as the right to withdraw your consent at any time.
